Cancellation & Refund Policy

DoodleByte Design Studio sells bespoke professional services, not off-the-shelf products. This page explains plainly how cancellations work, what is refundable, and how quickly you get your money back when it is.

1. What you are paying for

Every engagement is custom work - research, design and engineering hours spent specifically on your project. Once those hours are worked they cannot be returned to stock or resold, which is why the rules below turn on what has actually been delivered rather than on a blanket cooling-off window.

2. How services are delivered

All services are delivered digitally - there is no physical shipment. Work is handed over electronically through the channels agreed in your proposal: a staging or production deployment, a source-code repository, design files, and written handover documentation.

Delivery happens against the milestones in your proposal rather than in a single drop at the end. Timelines depend on scope: a small piece of work can be delivered within days, while a full application typically runs two to three months.

3. Cancelling a project

You can cancel at any time by writing to doodlebyte.studio@gmail.com. The cancellation takes effect on the date we receive it. We will then send you a final statement showing what has been delivered, what has been paid, and any balance due or refundable in either direction.

On cancellation we hand over everything you have already paid for, in a usable state.

4. What is refundable

  • Before any work begins. If you cancel after paying but before we have started, you get a full refund, less any third-party costs already incurred in your name.
  • While work is in progress. You are charged for work completed and for commitments we cannot undo up to the cancellation date. Anything you have paid beyond that is refunded.
  • If we cannot deliver. If we cancel for a reason that is our fault, or we are unable to deliver what was agreed, you get a full refund of everything paid for undelivered work.
  • Duplicate or incorrect payments. Refunded in full, always.

5. What is not refundable

  • Work already completed and delivered, or hours already worked at the time of cancellation.
  • Third-party costs already spent on your behalf - domains, hosting, licences, paid APIs, app-store fees, stock assets.
  • Discovery, research and strategy work, once the findings have been delivered to you.
  • Cancellations driven by a change of mind about the direction after that direction was approved in writing.
  • Delays caused by content, access or approvals not being provided, where we have kept our side of the schedule.

6. Revisions before refunds

If you are unhappy with the work, tell us first. Your proposal includes rounds of structured review, and in our experience almost everything is solved by using them. We would much rather fix the work than refund it - raise the problem in writing and we will come back to you with a plan.

7. How to request a refund

Email doodlebyte.studio@gmail.com with your project name, the invoice or payment reference, and the reason for the request. We will acknowledge within 1 business day and give you a decision, with reasoning, within 7 business days.

8. How refunds are processed

Approved refunds are issued to the original payment method, in the original currency, and are initiated within 7 to 10 business days of approval. How long the money then takes to appear depends on your bank or card issuer, which is outside our control. Bank charges or gateway fees deducted by intermediaries are not refundable by us.

9. If you disagree

If you are not satisfied with a refund decision, reply and ask for it to be escalated - a founder will review it personally. We would always rather resolve a disagreement directly than through a chargeback or a court.
